Contact Import
Overview
- Users with the "Contact Tools" Permission may use the Contact Import function to import a batch of Contacts.
- The Contact Import function allows Users to add a batch of Contacts by uploading a single file.
- The file may contain general contact information, Reservation Event information (optional), and custom Contact Attribute values (optional).
- Users may update the contact's information before importing into Focus3.
- Users may detect duplicates within a Contact Batch and may choose to ignore or delete duplicate contact information.
- Users may choose to append or merge duplicate contact information with existing Contact records within the Property.
- Reservation information and Contact Attribute values included in the import file will be inserted when Contacts are added to the Property.

Importing Contacts
- Click on the "Admin" tab to display the Admin page.
- Click on the "Contact Import" link to display the Contact Import page.
- Click the "Add New Batch" link on the upper-right to display the Contact Import Batch Detail page.
- Click on the "Generate Contact Import Template" link to display the Contact Import - Batch Detail page.
- Check any optional Attribute Groups under the "Custom Contact Attribute Groups" section to include fields for Contact Attribute values in the Import Template.
- Select an optional Reservation Event if desired from the drop-down under the "Reservation Event" section to include fields for the Reservation Event in the Import Template.
- Click the "Generate" button to create the Contact Import Template file. The file contains the format for entering contact information. Save the file to your computer.
- Open the Contact Import Template file in Microsoft Excel and input data under each of the columns as indicated.
- Save the file.
- Click on the "Admin" tab to display the Admin page.
- Click on the "Contact Import" link to display the Contact Import page.
- Click the "Add New Batch" link on the upper-right to display the Contact Import Batch Detail page.
- Enter a Name for the batch and select the file from your computer to upload.
- Click the "Save" button to create the Contact Batch. Contacts will be listed in the Batch Contacts section. Any Contacts that appear to match existing Contacts will display a Merge Contacts link. Click the "Merge Contacts" link to view the possible duplicate records. Click tke "Merge" link to update the Contact information.
- If you wish to change the contact's information before import, you can click on the active link of the contact's name and update thier information before proceeding.
- Click the "Search for Batch Duplicates" link to display possible duplicate contact records within the batch. Check and duplicates and click the "?" button to remove the Contacts from the batch.
- Select the checkboxes for all of the Contacts to commit to Focus3. Click the "Check All" button to select all Contacts.
- Click the "Commit Selected Contacts" button to display the Commit Summary Page.
- Select values for Sales Exec, Inquiry Type, Lead Status, Relationship, Action Cycle, Campaign and Notes as desired.
- Click the "Add Contacts" button.
